Prevent Information Leaks: Microsoft Office Launches "Publish to Web" Feature for One-Click Sharing of Clean Document Versions
IT House, March 11 — Microsoft announced yesterday (March 10) in a blog post the launch of the “Publish to Web” feature for Microsoft 365 apps, helping users share clean, final versions of documents with others.
According to the blog post, in the past, users who wanted to share files without exposing internal editing traces often had to spend a lot of time and effort manually cleaning up the documents. Now, Microsoft 365 can automatically handle this process by uploading the document to the web and generating a dedicated link, allowing recipients to view only a read-only version with internal information removed.
Microsoft pointed out that in daily work, senders often forget to delete comments, annotations, or earlier versions in documents, which can lead to confidential or sensitive information leaking out unknowingly. By enabling this new feature, recipients only get a polished final version of the document, cutting off the possibility of hidden information leaking.
Regarding sharing permissions, Microsoft provides users with high control. Users can click the “Unpublish” button at any time to revoke the shared link or click “Republish” to update the document content. Since changes to the document are not synchronized in real-time with the shared link, users must manually republish to let recipients see the latest version.
Microsoft stated that currently, this feature is only available for the web versions of Excel and PowerPoint, with support for Word on the web coming in future updates.
IT House, citing the blog post, noted that this new feature is not available to general consumers. Users must have an enterprise license to use it, and to meet enterprise compliance and data management standards, the system requires uploaded documents to be stored on the SharePoint platform.
